VALEGRID FLOW

Construction software for main contractors who run other people's crews

Construction software for main contractors has to solve a different problem from a subcontractor's: most of the labour on your sites belongs to somebody else. VALEGRID FLOW gives you one on-site register across every gang, Project Sync so a subcontractor's approved hours arrive in your account at the rate you agreed instead of on a spreadsheet a week late, and estimates that become live budgets your projects burn down in real time. The same account runs your own directly-employed people, their payroll and CIS, and the valuations you send your client.

Subcontractor hours arrive without chasing them

Invite a subcontractor and Project Sync links their Valegrid Flow account to yours for that project. Their approved timesheets mirror into your account against the rate recorded on the link — hourly, or a daily rate converted to a per-hour charge-out — so what you are paying for is agreed before the work happens, not argued about after. Nobody re-keys a hand-written sheet, and you can filter your own timesheet view and exports down to one subcontractor.

One on-site register, every company on it

A single QR poster at the gate covers everyone: your own workers clock in with GPS, price-work gangs sign in by name with no app to install, and visitors complete the legal register. The live “on site now” board shows who is on which site right now across every subcontractor, and anyone who forgets to sign out is signed out automatically.

Budgets that burn while the job runs, not at the final account

Price the tender from the drawing, win it, and that estimate becomes the live budget. Every hour booked — yours or a subcontractor’s through Project Sync — burns down the same areas you priced, with a warning when a project starts to drift. You find out a job is going wrong in week three, not at the final account.

Your own people, payroll and paperwork in the same place

Directly-employed staff run on full UK PAYE, subcontractors on CIS at 20%, 30% or gross, both from the same approved timesheets. RAMS, HAVS, CSCS and insurance expiries, site diaries with timestamped photos, the drawing register and your applications to the client all sit in one account rather than five.

How it works

  1. 1

Set up the project and the gate

Add the site, its work areas and your own crew, then put the QR poster on the cabin. Workers, price-work gangs and visitors all sign in from the same poster.

  2. 2

    Invite your subcontractors

Send each subcontractor a Project Sync invite for that project and record the agreed rate on the link. When they accept, their approved hours start arriving in your account against that rate.

  3. 3

Watch the budget and bill the client

Approved hours from every company burn the budget areas you priced, and the same approved week builds the valuation and invoice you send your client, with retention and the reverse charge handled.

Frequently asked questions

How do subcontractor timesheets reach a main contractor in Valegrid Flow?
Through Project Sync. You invite a subcontractor to a project and record the agreed rate on that link. Once they accept, the timesheets they approve mirror into your account against that rate — no spreadsheets, no re-keying, and no argument later about what was agreed. You can filter your timesheet views and exports to a single subcontractor.
Do my subcontractors have to pay for Valegrid Flow too?
They need their own account, and it starts at £29 a month for a sole trader. Project Sync is on every plan on both sides, so a one-van subbie is never blocked from linking to you by the price of their plan.
Can I see who is on site across all my subcontractors at once?
Yes. The on-site register is company-wide, not per subcontractor: one live board shows everyone signed in across every project and every gang, including price-work crews who signed in by name without an app and visitors who completed the legal register.
Does Valegrid Flow handle CIS for the contractor side?
Yes. It calculates the deductions you make from your subcontractors at 20%, 30% or gross by verification status, on the labour element only, and produces HMRC-ready statements — alongside full PAYE for your directly-employed staff, from the same approved timesheets. Payroll with CIS is on the Small crew plan and above, from £149 a month.
